Terms and Conditions of Sale - 2026
General Terms and Conditions
Our general terms and conditions for sale will apply in all instances, unless varied by this quotation or confirmed in writing by ourselves. These can be requested at anytime and can be found on our website
Order Acceptance
Receipt of your order will be confirmed in writing within five working days and thereafter accepted following our supervisor’s site visit.
Working Hours
All prices are based on works being undertaken during normal daylight weekday hours between 08:00 and 16:30. If works are to be conducted at times other than stated, they will be subject to a supplementary charge, unless by prior agreement, and specified in our quotation.
Continuity of Work
Please note all prices are based on continuity of work. However, should we, due to factors beyond our control, be unable to conduct works and commissioning in an uninterrupted manner, an additional charge of minimum £850 for every return visit will be levied. This charge is not applicable to pre-planned multi visit schedules or work agreed in writing prior to commencement of the project.
Value Added Tax
All prices indicated are subject to VAT, which shall be added at the rate applicable at the time of official invoice.
Payment Methods
Payment for the main contract will be from one of the following, with approved account payment/s being due prior to each application for payment as dependant on value this may well be in staged payments. Payments to be made by BACS or credit transfer. We DO NOT accept cheques or cash.
Payment of a deposit
The Company may request a full or partial deposit plus VAT with the order (subject to status), with any balance being due strictly 28 days from the date of official invoice, and subject to the terms displayed on the invoice. With all Public Sector Clients – we expect that payment will be received within 30 days of date of invoice.
Progress Payments
For projects spanning 4 weeks or more, or extending over a month end, the Company reserves the right to issue an interim invoice to cover the percentage of materials on site and work completed against the total value. Payment of this invoice is due immediately to ensure continuation of work. For all payments made prior to the commencement/ completion of the installation, a receipt will be provided. A full invoice/ statement will be provided at the end of the project, which will acknowledge any monies received in advance.Credit terms are offered only subject to a satisfactory credit check at the time of receiving your official order. A larger deposit will be required should the project value exceed your Company's credit rating.
Commissioning
Should we, due to factors beyond our control, be unable to undertake final commissioning within 7 days of completing the installation, final invoices will be submitted and become payable on the terms indicated above – this being within 30 days of date of invoice.
Availability
A1R Services Ltd cannot accept responsibility for any supplier becoming out of stock between the date of this quotation and the ordering of equipment, following receipt of your written instructions. Please note: Orders will not be placed with suppliers without receipt of your written letter of intent or official order and if once placed and then the order is cancelled a re-stock charge would apply.
Cancellation
Cancellation following 5 days from receipt of your official purchase order, letter of intent or email instruction, will result in a cancellation charge of 35% of the total order value.
Termination of Contract
Service & Maintenance Contract termination can be executed at any time with a 6-month notice period to either party and a half yearly premium charge payable and immediate termination of contract with payment due of the 50% of annual contract value within 7 days of the termination letter being received.
Warranty
Any parts of the equipment, which in the opinion of the Manufacturer, or his agent, which prove to be defective within the 12 months warranty period will be replaced free of charge, subject to the equipment being properly maintained throughout the warranty period. Extended parts warranty may be available; however related labour, material, delivery, and support service charges will be applicable. This does not affect your statutory rights. However, all plant must have a minimum 2-PPM visits per annum to ensure that the equipment is maintained and kept in good working order to validate any warranty even in the first 12-month period defects liability period. The premium charge will be reviewed yearly, and we reserve the right to cancel the extended warranty period if any contract is not renewed on time.
Warranty is also on the discretion of the Manufacturer, and should routine maintenance not be employed then this will invalidate any warranty claim.
On completion of each installation or within the original quotation provided you would have been offered within the proposal that on completion a service contract is required to be implemented to validate any warranty even in the 1st 12 month’s defects liability as the plant is sensitive and requires routine inspection, filters cleaning and plant checked for correct operation and to ensure in good working order.
Warranty is transferable to your preferred service provider on the basis that both parties agree and that are on the same accredited level with that manufacturer as this will dictate what warranty is available.
Please note: Long term warranty only applies to the capital parts element of the system and Labour, refrigerant, and consumable items such as OFN, recovery/reclaim bottles are fully chargeable.
Validity
Our prices quoted can be considered firm for a period of 30 days from the date of the quotation, written email, or website details and thereafter, subject to review, as when we see fit or if any supplier’ increase their prices to us.
Specification
We cannot be held responsible for any changes in product specification by the Manufacturer, between the date of the quotation and receipt of your official order. Any alteration in specification will be notified to yourselves prior to commencement of the project.
